The Role of Community Plain Language

Published November 6, 2026

Plain language makes community information easier to understand, compare, and act on without removing important detail or nuance.

Plain language is not about simplifying every idea. It is about helping readers understand the meaning, purpose, and next step without unnecessary obstacles.

Lead with the point. Readers should not have to navigate a long introduction before learning what changed or what is being requested.

Use familiar words when they are accurate. Specialized terms can remain when they are necessary, but they should be explained.

Break complex information into sections. Headings, short paragraphs, examples, and lists can make a difficult process easier to follow.

Name exceptions clearly. Important qualifications should appear near the statement they affect rather than being hidden at the end.

Test writing with someone outside the project. A fresh reader can identify assumptions that the author no longer notices.

Plain language supports trust. Members can make better decisions when information is understandable, complete, and honest about uncertainty.
