How to Make Community Events More Accessible Online

Published November 6, 2026

Accessible online events use clear information, flexible formats, readable materials, and multiple ways to participate.

Online events can remove some physical barriers, but they can also create new ones. Accessibility improves when organizers consider technology, communication, time, language, and the different ways people engage.

Share information before the event. Include the platform, time zone, duration, access instructions, captions or transcripts, language, and how participants can ask for help.

Use clear materials. Descriptive headings, readable contrast, meaningful links, and accessible documents make it easier for members to prepare and follow along.

Offer more than one participation route. People may speak, write in chat, submit questions beforehand, or review a summary afterward.

Manage the pace. Pause between topics, explain transitions, and avoid assuming that everyone can process information at the same speed.

Record or summarize when appropriate. A written recap can help members who cannot attend, while recordings should respect privacy and consent.

Ask for feedback without demanding personal disclosure. Focus on what would make the event easier to access and improve the next activity.
