How to Build Community Project Roles
Published November 6, 2026
Well-designed project roles make contribution easier by clarifying purpose, scope, decision authority, support, and handoff expectations.
A role should help someone understand how they can contribute without requiring them to guess what success means or carry responsibilities that were never discussed.
Describe the role’s purpose. Explain which project outcome the role supports and why the contribution matters.
List the core tasks and time range. Members need an honest view of the work before agreeing to participate.
Clarify decision authority. A contributor should know which choices they can make and which require coordination with others.
Name available support. Examples, documentation, a partner, or a regular check-in can make a new role more approachable.
Include an end or review point. Open-ended responsibility can become difficult to sustain, especially for volunteers.
Plan for handoffs. A role becomes healthier when another person can learn it and when stepping back is treated as normal.
