Building Community Capacity for Handoffs
Published November 6, 2026
Thoughtful handoffs protect continuity by sharing context, responsibilities, access, and lessons before a role changes hands.
A handoff is more than transferring a task list. The next contributor needs enough context to understand why the work exists and how to make decisions.
Document recurring responsibilities. Include schedules, tools, contacts, review dates, and common questions.
Explain the reasoning behind important processes. Context helps a new person adapt a routine instead of following outdated steps mechanically.
Introduce key relationships. Members, volunteers, partners, and moderators may each hold knowledge that is not written down.
Allow time for questions and overlap. A short transition period can prevent avoidable confusion and give the new contributor confidence.
Transfer access carefully. Share only what the role requires and update permissions when responsibilities change.
Review the handoff afterward. Each transition can reveal documentation that will make the next one easier and more respectful of everyone’s time.
